Personal Assistant & Administrator - 2021

Corrosion Engineering Solutions [CES] is a consultancy specialising in the diagnosis and treatment of corrosion related defects in historic buildings, civil and maritime structures, and the renewable energies sector.

We work across the UK, Highlands and Islands, Northern Ireland and occasionally abroad.

The Job Role

Your principal responsibility will be to support the engineers and technicians in delivering their work.

You will be required to assist with various parts of the business operation and will be involved in project specific activities and the general administration of the business. This will include gathering and preparing information for project bids and deliverables.

You will be responsible for ensuring that the office runs efficiently and helping to develop and maintain the systems to see that this remains so.

Some bookkeeping experience using XERO accounting software is desirable but not essential and training will be provided where needed.

We are looking for a minimum of 20 hours per week [max 40 hours] between the hours 8:30am and 5:00pm Monday to Friday. Hours may be arranged to fit around school times or other responsibilities and additional flexibility [including home working] will be afforded around holiday periods.

You will be required to:

  • Assist with arranging travel and accommodation for the engineers & technicians. This will include booking train tickets, flights, hotels, car hire and managing diaries.
  • Book-keeping for accounts. Collating and processing invoices and expense receipts, sub-contract payments and pay-roll to allow various company accounts to be produced via standard software [Xero]. No previous experience required but will be an advantage. Training will be provided.
  • Pre-qualification returns – compiling documents and information for compliance with online customer/supplier databases. No previous experience required. Training will be provided.
  • Assisting in the preparation of bid documents and project deliverables.
  • Tracking of arranging equipment calibration to assist with compliance.
  • Tracking training requirements against expiry dates and booking refresher courses.
  • Ad hoc assistance in the office – ordering supplies, arranging postage.

Person Profile

We are looking for a dynamic individual with good organisational skills, who enjoys working with a small team on varied projects.

You will be willing to learn new skills and commit to the training/coaching provided. Each of our projects brings new requirements and the successful applicant needs to be dynamic in their approach to accommodate these.

We are a small team and work closely together. You should be able to give and receive feedback, learn from mistakes, and support and look after your colleagues.

They should have a high level of IT skills particularly in the use of Microsoft Office 365. Experience of accounting/book-keeping software [XERO or similar] would be an advantage but not essential.

No specific experience is required as training will be provided, but previous experience as a personal assistant and or in book-keeping would be an advantage.

A clean driving license and access to a vehicle and being within a commutable distance of our offices in Tring will be favoured.

Salary & Benefits

The salary will be from £10.10 to £12.50 per hour based on relevant experience.

A workplace pension and mandatory sick pay will be provided.
